October 2021 Meeting Minutes

I want to take this last opportunity to express my appreciation to the current, incoming and past Executive Boards of IPMS USA. It has been a pleasure to serve on the executive board for over 30 years. I remain fully available to the team in any supporting role where you can make use of me. Now I’m going to put my model room back together and build some models.

Mike Oberholtzer, Treasurer

• Now that the 2021 National Convention is in the books, we have a better idea of how the year will go. The convention was profitable, bringing in a total of $24,414 in net revenue. Of course this is only a third of the 2019 convention results, but it is in line with 2018 and about 72% of 2017. Given the difficulties we faced due to the continuing presence of COVID and the impact of the Delta variant, we did very well. We will be paying out about $12,200 to the Las Vegas chapter once the convention after action report is accepted. So far this year we now have a net loss of $16,720. This is primarily due to lower than expected convention revenues and higher than expected convention expenses. Membership continues to be a bright spot, running about $23,000 ahead of 2020. I expect we will see a slightly larger net loss in October as we pay out the 2021 convention split, but I expect the loss for the year to diminish as the rest of the year goes on. We’ll see more incoming revenue from the 2022 convention, and hopefully continued growth in membership revenues. No matter what, we will do much better in 2021 than in 2020!
  
  On the web and Wild Apricot side of things, we continue to make steady progress toward implementing Wild Apricot at year end. We’ve completed much of the set up needed for memberships, chapters, and the convention, added a new member to our support team, Mark Stevens, and we are ready to start testing with the 2022 convention team and some volunteer chapter contacts. Our initial model will be to use the existing website as the portal to WA, so change will be manageable for members and our team as well. Marie is sending out a letter to members without email addresses in our system to get the information we need for setup. I’ll have more updates next month. (3 reports attached)

Dennis Tennant, Secretary

• As specified by Article VI, Section D in the IPMS/USA constitution, Pres. Noack asked that I serve as the Auditor of the 2021 election.
  
  After going over the online and paper ballot totals, I declare David Lockhart as president, Phil Peterson as 1st VP, John Bonanni as 2VP, Jeff Neal as Director of Local Chapters, Rob Booth as Secretary, Ro Annis as Publications Director/Historian and David Knights as Secretary for Recruitment/Retention. Michael Oberholtzer will continue in his appointed role as Treasurer. The newly-elected board members will serve a two-year term beginning Nov. 1, 2021. The results have been published on the website and will be printed in the next Journal. I have also attached a copy of the result totals to the minutes posted online.
  
  Although I’m stepping away from my role as National Secretary for a while, don’t be surprised to see me around helping out in the future. We have established a solid foundation and I expect a bright future ahead for the IPMS/USA. Like John, I’m headed back to the bench for some hobby time!

Ro Annis, Historian/Publication Dir.

• IPMS/USA Journal: The IPMS/USA Journal is currently running a full issue behind and most of my energy has been directed towards getting it back on schedule. The production staff thinks the magazine will be on schedule by the end of the year. I have been talking to members about lending a hand with the production of the Journal now and in the future. The latest issue does have one new thing in it, the Swag Page. It features an IPMS member wearing an IPMS t-shirt along with a bio of their club. More things like this will appear in the magazine as we move forward. Again, it is a top priority to make sure the Journal is printed on schedule to insure that all the ads for events do not become irrelevant and that our paying advertisers don’t lose faith in us. I am also pestering everyone I know to contribute to the magazine. I am still working on evolving the magazine in both in terms of style and content, finding more people to ease the workload documenting their process so that it can be passed onto the next generation of volunteers.
• Wild Apricot: I have been working closely with Mike Oberholtzer on the new IPMS website homepage and navigation. Once the navigation has been documented, I will start updating all the text and graphics of the pages. This has also been a priority, as the goal is to get the navigation map to the web developers as quickly as possible, giving them the time they will need to keep it all moving forward. The plan is to have the new site up and running on January 1st 2022.
• Facebook: I am one of the moderators here, occasionally I go in and deal with approving posts and new members.
• Historian: I contacted Jim Pearsall’s estate to see if I could secure any of the digital files that would become the starting point of the IPMS archive. I did not get a response, so I will put some announcements/requests for members to send me any digital files they may have already. After that I will see if I can get members to scan issues and send them to me over time. Right now this is on the back burner, Wild Apricot and the Journal are more important.

• I should have the text for the updated tri-fold recruitment flyers ready to go in the next month.
